Due to the nature of today's industry, office automation is advised to ensure proper records are kept in an orderly and efficient manner, as required by the Act. One of Secure Data Content's core capabilities is in Document and Records Management solutions. As such, Secure Data Content focuses on design of government and commercially compliant records and document management systems, from inception of a document in hard or soft copy, to where a document needs to be stored and retrieved by a user.

    The proposed solution caters for several options that have been envisaged for the use of small business, depending on their size and need. This solution will cater for the FAIS requirements of each individual customer.

    Option 1:
    Documents are collected from the customers offices (physical or electronic) or from a central collection point. Documents are scanned and indexed by Secure Data Content according to the Broker's requirements and stored in the Secure Data Content central repository. The SME now has access to the information via the internet. The SME can be supplied with an electronic copy (CD) once a month, or whenever data reaches 620Mb. The SME can now shred hardcopies, or store them off-site with Secure Data Content. A Call Centre is available during office hours to assist.

    Option 2:
    The SME owns the scanner, or purchases it from Secure Data Content. The customer scans and indexes documents himself. Documents are sent to Secure Data Content via the internet and stored on the Secure Data Content central repository. He has access to the data via the internet. The SME can be supplied with an electronic copy (CD) once a month, or whenever data reaches 620Mb. The SME can now shred hardcopies, or store them off-site with Secure Data Content. A Call Centre is available during office hours to assist.
